Your calendar doesn’t only lose opportunity when someone doesn’t book.

Client opportunities appear all around your calendar. The challenge is recognizing them and taking the right action at the right time.

  • THE PHONE RINGS

Your team is with a client and can’t answer.

  • SOMEONE ISN’T SURE WHAT TO BOOK

They have questions before they’re ready for a straightforward appointment.

  • AN APPOINTMENT CANCELS

Tomorrow suddenly has an opening you weren’t planning on.

  • A REGULAR HASN’T RETURNED

Someone who normally comes back hasn’t scheduled their next visit.

  • YOU WANT TO GROW A SERVICE

You have clients, staff capacity, or appointment time that could be better aligned with what your business wants to build.

Beauty Client Assist helps your business recognize and act on more of those opportunities.

Your always-working client growth assistant.

Beauty Client Assist works around your calendar to help your team respond, book, follow up, recover openings, reconnect with clients, and recognize when a conversation belongs with a person instead.

  • CAPTURE

Keep client conversations moving across calls, texts, and missed calls so an opportunity does not depend entirely on someone being available at that exact moment.

  • BOOK

Help clients move through straightforward appointment booking when the service, availability, and business rules are clear — with the client choosing the appointment and explicitly confirming before anything is committed.

  • RECOVER

Recognize unexpected calendar openings and use business-controlled eligibility and outreach rules to give that time another opportunity to be booked.

  • RETAIN

Use client history, service timing, reminders, rebooking, and follow-up workflows to help maintain the relationship after one appointment ends.

  • GROW

Focus eligible outreach around the clients, services, openings, and rebooking opportunities that matter most to the business.

  • HAND OFF

Stop automation when a request requires judgment, falls outside approved information, or the client wants a person — then give staff the context they need to continue.

Your next client shouldn’t depend on someone being free to answer the phone.

  • MISSED CALL → TEXT CONVERSATION

Automatically follow up after a missed call and give the client another way to continue the conversation.

  • TEXT → ASSISTANCE OR BOOKING

Respond to routine questions, gather useful information, or move an eligible request toward an appointment.

  • PHONE → OPTIONAL AI VOICE

Add an AI Voice Agent to handle supported inbound calls, answer routine questions, gather client information, and book against configured calendars using HighLevel Voice AI.

Give more missed opportunities a path forward.

See the Conversation Experience

When they’re ready to book, make it easy.

  • Booking by text
  • Appointment availability
  • Confirmations
  • Rescheduling
  • Calendar follow-up

But not every client conversation should become an automatic booking.

Some conversations need a person before they need a calendar.

Beauty Client Assist can answer information you’ve approved, gather useful details, and move the conversation forward without pretending to make a professional judgment it shouldn’t make.

  • HAIR

“I’ve been coloring my hair black for years. Can you get me blonde?”

  • NAILS

“Can you do this design? I have a picture, but I’m not sure what I should book.”

  • MASSAGE

“I’m not sure which type of massage I should schedule.”

Automate what should be automatic. Hand off what shouldn’t be.

Know what the client needs before you jump into the conversation.

When a person takes over, they shouldn’t have to scroll through a long message thread or ask the client to start over.

Get the quick version when you need speed. Get the full context when you need detail.

A cancellation doesn’t have to quietly become an empty appointment.

When unexpected time opens on your calendar, Beauty Client Assist can help identify appropriate clients and start targeted outreach according to rules your business controls.

Clients have patterns. Your software should notice them.

Your client history can help reveal when someone may be approaching their usual time for another visit. Beauty Client Assist can use those signals and rules defined by your business to support more timely rebooking and reactivation outreach.

Businesses that add AI Voice can use supported HighLevel Voice AI capabilities for inbound phone conversations, including routine questions, information gathering, call routing, workflow actions, and appointment booking when the business’s calendars and Voice AI booking rules are configured for it.

AI Voice is optional. Beauty Client Assist works without it.

Help shape Beauty Client Assist in the real world.

We’re working with a small group of beauty and wellness businesses to validate Beauty Client Assist against real client conversations, calendars, and day-to-day operations.

Beauty Client Assist is currently in pilot. The capabilities shown here are being connected and validated in real beauty-and-wellness workflows. What is enabled for an individual pilot business depends on its setup and the workflows we validate together.

Questions

Is Beauty Client Assist just an appointment booking system?

No. Booking is one part of Beauty Client Assist. It is designed to work around the broader client relationship — including calls and texts, missed-call follow-up, routine questions, booking, confirmations, unexpected openings, rebooking, targeted outreach, post-visit follow-up, reputation workflows, and conversations that need a person.

Does Beauty Client Assist automatically book every request?

No. When the service, availability, and booking rules are clear, Beauty Client Assist can help a client choose an eligible appointment and book it after explicit confirmation. If the request is unclear, requires professional judgment, or falls outside the business’s approved rules, the conversation can be handed to a person instead.

Can clients book by phone?

Yes, when AI Voice is included and configured for appointment booking. HighLevel Voice AI can offer available appointment times and book against configured calendars during a phone conversation. This is an optional platform capability and is separate from Beauty Client Assist’s custom text-booking and inquiry-handling logic.

Can it help fill canceled appointments?

Beauty Client Assist includes workflows designed to identify unexpected openings, identify eligible clients, and perform targeted outreach according to rules the business controls. Because we are still connecting and validating these workflows in live pilot environments, we do not promise that every opening will be filled.

Can we target specific clients for open appointments or rebooking?

Yes. Outreach can use approved business factors such as service history, appointment fit, timing, client preferences, prior booking behavior, and business-defined service priorities. The goal is to make outreach more relevant rather than simply messaging everyone.

Can it help bring high-value clients back?

Beauty Client Assist can use legitimate client and service history to help prioritize appropriate rebooking and reactivation opportunities. “High-value” means business history such as prior service value, repeat visits, or relevant service activity — not sensitive personal characteristics.

Can we prioritize certain services?

Yes. Beauty Client Assist is designed so a business can define the services and appointment opportunities it wants to focus on, allowing eligible outreach and calendar workflows to reflect those priorities.

Does it learn client booking patterns?

Beauty Client Assist can use historical booking and service information to identify useful timing signals for rebooking and follow-up. More advanced adaptive pattern recognition is still being developed and validated, so we should not present the system today as independently learning every client’s future behavior.

What does my team see when a conversation is handed over?

The team can receive a quick Conversation Summary showing what the client is looking for, what has already happened, and what still needs attention. When more detail is useful, staff can also review what the client said, what Beauty Client Assist answered, what it could not answer, what information was collected, and what remains for a person.
